One private, branded app per departure: program, people and photos, kept open 12 months after the last day; and, included in the plan, a consent-logged opt-in into your CRM.
It sits next to your booking and itinerary tools, not in place of them.

"only 13% of first time bookers book again the next year." One analysis of 30 specialist operators "showed an average 70% of clients who only booked once". Travel Weekly (UK), January 31, 2025.

An emailed link signs each traveler in on any phone. Everything below is in the demo you can open.

"only 13% of first time bookers book again the next year." Jon Walton of Spike: "When we do the data analysis we see up to 70% [one time bookers]".
Travel Weekly (UK), January 31, 2025Travel advisor Liana Rowan on running groups in WhatsApp: "Some mornings I'd wake up and there'd be 87 new messages," and "Someone once uploaded their entire camera roll to a chat".
PAX NewsOne operator's own advice to its travelers for sharing photos with the tour group: "Make a Facebook Group", "Join photocircle", "Join a photo storage site", "Use iPhone sharing", "Create a hashtag".
Go Ahead Tours travel blogWe open your site; you set up the rest yourself in the admin, included, or have us load it for you: $750 per group, optional. The program, roster, people and photos are in the demo today. The Confirm opt-in and the export are built and included in the plan; they are not yet in the demo or live for clients.
Stops by day with time, place and map link. Change a stop and every phone has it; no reprint.
Import the passenger list as a CSV file (any spreadsheet exports one), or add travelers one by one. Travelers, tour director and staff are in before anyone signs in; you approve anyone who asks to join.
From the tour director and from travelers, filed by day and tagged, with no public link. One album for the whole group, not five apps.
Included: a traveler who ticks "Keep me posted" reaches your contact list only after clicking Confirm in the email, with the sentence they agreed to, the version and the time attached. Nobody is exported.
Directory, photos and connections stay with the group for the year after the last day, included. When next season's departures open, the group is still there and the travelers who said yes hear from you first.
Included: one download of the group as a ZIP file you keep, with the program, people, consents, board, events, announcements and photos, at no cost. Photo sets over 500 MB come in parts or on request; one-to-one messages are never exported. Ask us and we delete the group's data.
Not in it: booking and payments, trip documents and vouchers, offline mode, a native app in the app stores. Keep the tools you use for those.

Keep it. Yalavia does not do documents, bookings or payments. It is the group's own space: the directory, the photos filed by day and the travelers who said yes to hearing from you again, still open 12 months after the tour.
Yes. Operators who resell Yalavia to the groups they carry buy it at 60% of list.
Tell us on the call before you book. Travelers under 18 need extra settings switched on for your group, and we will tell you exactly what they cover.
You do. Pinnacle Ethos runs the app for you and holds the data only to do that. Opted-in contacts land in your own CRM, not ours. When the agreement ends, you take the export and can ask us to delete our copy.
Only people you approved, after they accept the group's terms. Each traveler decides whether their email or phone shows. Nothing in the group is public and nothing is indexed by search engines.
Keep it. The app holds what a chat cannot: the program that updates itself, the directory, the photos filed by day, and the people who said yes to hearing from you again. Chats stay on WhatsApp through a Join link.
Northwind Tours is an invented operator on an invented 8-day tour of Portugal: travelers, itinerary, photos, a board, messages. Nothing in it is real, so tap anything. Sign in with lucia.moreno@northwind.example (a traveler) or owner@northwind.example (the operator); the demo shows the sign-in link on screen instead of emailing it.
Email us your organization, the next departure and the group size. We reply within one working day with a time.
